What is a sub-award?

Researchers often work with co-investigators at other institutions and therefore need to transfer funds for use by their co-investigators.

Sub-awards are used to clarify each institution's obligations and intellectual property. UVic researchers can enter collaborations as sub-award recipients or as sub-award providers. Sub-awards are also known as sub-grants, sub-contracts, grant transfer agreements or transfer of funds agreements.

What part does Research Accounting play in the sub-award process?

  1. Receiving a sub-award
    1. Once the sub-award agreement is executed, Research Accounting will receive payment from the Principal Investigator Institution
    2. Research Accounting prepares a form 300 for each sub-award and sends it to the respective institution

  2. Paying a sub-award
    1. Once the sub-award agreement is executed, Research Accounting will issue payment to the sub-recipient institution
    2. Research Accountin receives a form 300 from each sub-award recipient and prepares combined financial statements for the grant
    3. A combined financial statement is sent to the sponsor agency
