Email aliases

An email alias is an additional email address that gets attached to an existing Exchange Online mailbox. It lets you send and receive email using different email addresses, but all the mail still lives in one mailbox instead of separate ones.

By default, all UVic email accounts are created with an email address following the format username@uvic.ca. Additional email aliases can be added for UVic employee mailboxes and shared mailboxes. Student email accounts are not eligible for email aliases.

Email aliases are a great option for:

  • People with multiple roles like department administrators, directors or chairs. Example: department.director@uvic.ca
  • Departments who want to consolidate multiple generic contact emails into a single shared mailbox. Example: three seperate department clerk contact addresses turn into email aliases that send to deptfrontdesk@uvic.ca

If you have an existing role-based email, you can convert it to an email alias.

Using an email alias

Once your email alias has been added to your mailbox, you can receive messages without any additional set up. When you send emails to other UVic email addresses, the recipients will see your Microsoft 365 contact card.

If you’re sending email to non-UVic (external) email addresses, you can choose your email alias from a drop-down list in the From field when you’re writing a message. The external contacts will see your email alias instead of your Microsoft 365 contact card.

Request an email alias

Email aliases have no cost and are available to UVic employees. They can be added onto your primary NetLink ID email account or a shared mailbox.
